Manual Cancellations and Manual Credits
What is a Manual Cancellation? |
If an order goes through that should not
be commissionable, such as an order that was returned by the customer, you
can manually cancel that transaction so that the commission credited to the
Publisher and the LinkShare tracking fees will be reversed. If you report
orders via LSTrans, automated cancellations through LSTrans are preferred;
however those with other tracking technologies will need to do manual
cancellations. |
Each merchant is responsible for tracking
and reporting their own cancellations. Please note that
when you send in cancellations, they will not be reflected in the current
invoice. It will be reflected in the next month's invoice. You will be
credited for any transactions that have been reversed in the LinkShare
invoice and the Publisher's commissions will be deducted accordingly in the
Affiliate Payment section. You may send in
cancellations for any order that you have sent to us within the last 90 days. |

How to do Manual Cancellations |
For a Single Manual Cancellation: |
|
1. In the Account section of the interface, click on Transactions. |
2. Click on Manual
Cancellation. |
3. On the Manual Cancellation screen, fill out the box titled Manual
Cancellation by Order ID by typing in a single Order
ID. |

For Multiple Manual Cancellations/Credits: |
1. Create a 13 pipe ( | ) delimited Notepad file with
Order information. Each field must be separated with a | , which can
typically be created on a computer keyboard by holding shift and hitting back slash. |

b. Only 4 fields are required to have information: Order ID, Affiliate ID, Amount, and Reason. In addition, if the original order has an SKU number that will be required as
well. Below is an example of how the file should be written out:

c. Please note:
|
i. There can only be one cancellation per line.
|
ii. Each line must be terminated by a hard return.
|
iii. The “Date” field must be in the format yyy-mm-dd
|

2. Save file accordingly as a .txt file. |
3. Log into the Advertiser interface. |
4. Click on Transactions under the Account Section. |
5. Click on the link that says Manual Cancellation. |
6. Check off box that says Click here to
upload a file of multiple manual cancellations for processing. |
7. Browse file into the Multiple Manual Cancellations box. |
8. Click Submit. |
After clicking on "Submit," a
summary screen will appear detailing all the information you have just
entered. Please review this information, and if it is correct, click on
"Confirm." If you made an error, click on "Back/Cancel,"
make the necessary adjustments, and click on "Confirm" when done.
Note that the transactions are submitted to LinkShare immediately, though
they may not appear in both Advertiser and Publisher reports for up to 24
hours. |
Important Notes on Manual Cancellations:

*If any errors in the file are
discovered, the file will not be accepted. Errors will be displayed by the
line number in your file so that you may correct and resubmit.
|
**Please make all cancellations during
the month the transactions were made. Otherwise, they will be processed
during the following month.
|
|
What is a Manual Credit? |
When you would like to give credit to a
specific Publisher that is not submitted to LinkShare via the standard
submission process, you can manually credit the Publisher for that
transaction. You are able to process manual credits for any Publisher currently
participating in your program. |
For example, the Manual Credits feature
can be used when: |
|
- A transaction was non-commissionable due to return
days exceeded, but you would like to submit the transaction for credit to pay
the Publisher.
|
- A transaction was non-commissionable because the SKU
could not be found, but you would like to submit the transaction for credit
to pay the Publisher.
|
- A Publisher did not post the LinkShare code properly
for tracking, but you would still like to credit the Publisher for certain
sales.
|
If you would like to credit a Publisher
for a transaction that was not commissioned in the standard submission
process, simply follow the steps below, and the credit will be reflected in
your online reports, as well as Publisher reports, by the following day. |

How to do Manual Credits |
For a Single Manual Credit Transaction: |
1. Log into the Advertiser interface. |
2. Click on Transactions under the Account Section. |
3. Click on the link that says Manual Credit Transactions. |
4. Enter information into the Single Manual Credit Transaction form. |
5. Enter information into the 4 required fields: Order
Id, Affiliate Id, Amount, and Reason. Reason is entered as ‘Merchant
Request’. |
6. Click Submit. |

For Multiple Manual Credit Transactions: |

Important Notes on Manual Credits:

*When you are submitting a Manual Credit,
the number you are listing in the Amount field should be the total sale on
the transaction, not just the Publisher’s commissions.

**If any errors are discovered in the
file uploaded for Multiple Manual Credits, the file will not be accepted.
Errors will be displayed by the line number in your file so that you may
correct and resubmit
